DocuWare vs. Fleet Maintenance Software
Having worked with several haulage businesses implementing our document management solution to streamline their vehicle maintenance processes and drastically reduce (if not eliminate) their paper usage we know it can do the job.
But we also know there are many other options out there, each of them promising to make fleet maintenance easier for transport companies. And, to be fair, they all have something to offer.
Unfortunately, they all suffer from the same two drawbacks.
Pricing
The vast majority of fleet maintenance software packages we reviewed charge in one of two ways; either by user or by vehicle and/or trailer (asset, if you prefer).
In either case the bigger your fleet, the higher the cost. If you’re a growing company you are going to experience growing costs. This is because, of course, you’ll have more vehicles/trailers but also because those vehicles will need drivers and drivers are classed as users.
DocuWare is different. You pay for licences for those employees who need diect access to the system but this does NOT have to include drivers. Drivers can carry out their daily vehicle and trailer checks without a licence, feeding the results into the system for licensed staff to process. This cuts down massively on cost for the business and means that as you grow the price for DocuWare doesn’t change unless you need more licences.
In theory, you could manage the maintenance for a fleet of 100 trucks and trailers with only four licences!
Many software options also charge higher rates for different packages, limiting the options or functions you have. This could include electronic signatures, alerts and notifications, automated workflows and more. With DocuWare you get everything for one low price.
Customisation
With off the shelf fleet maintenance solutions you are limited in what they can and can’t do (unless you’re willing to pay vast sums for customisation). This makes it very difficult to choose the right software that matches your business and the way you operate exactly.
No one software package is going to offer everything you need – or, perhaps, it’ll offer more than you need but there’s no option to cut out what you don’t want, forcing you to pay for stuff you’ll never use.
